EnrollPilot AI ("EnrollPilot AI", "we", "us") provides an AI admissions assistant that career, trade and vocational schools ("Schools") use to answer prospective students on their website chat and WhatsApp. This policy explains what information we handle, why, and the choices you have. It covers this website (enrollpilotai.com) and the EnrollPilot AI service.

1. Our role

When a prospective student chats with a School's assistant, we process that conversation on behalf of the School. The School decides what the assistant says and how the information is used, and the School's own privacy policy also applies. If you are a prospective student and want to access or delete your information, you can contact the School directly or write to us and we will help.

For information about Schools' staff and visitors to this website, EnrollPilot AI is responsible for the information.

2. Information we collect

From prospective students, through a School's assistant

Contact details you share, such as your name, phone number and email.
The content of your messages, and details you choose to give about your education, program interest, preferred schedule and start date.
Appointment details when you book a tour or a call.
Technical data such as message timestamps, and for website chat, basic browser information.

The assistant does not ask for Social Security numbers, financial account numbers or tax documents, and you should not send them in a chat.

From Schools and website visitors

Contact and account details of School staff: name, role, school, work email and phone.
Content the School gives us to train its assistant, such as catalogs, schedules, requirements and outcomes disclosures.
Information you submit in our demo request form.
Basic usage data from this website, such as pages visited and device type.

3. How we use it

To run the assistant: answer questions, qualify prospects, book appointments, send reminders and hand conversations to the School's staff.
To give the School access to its conversations, summaries and results reports.
To support, secure, maintain and improve the service.
To respond to demo requests and communicate with Schools about their account.
To comply with the law and enforce our Terms of Service.

We do not sell personal information, and we do not use prospective students' information for our own marketing.

4. AI processing

Replies are generated by large language models from third-party AI providers, working only from the content the School has approved. Message content is sent to these providers to generate each reply. Under our agreements with them, they do not use this content to train their models. Each School can review every conversation at any time.

The School you are talking to, including its admissions staff and the systems it connects, such as its CRM.
Service providers that help us run the service: cloud hosting and databases, AI model providers, messaging providers (such as WhatsApp, operated by Meta) and email delivery. They may use the information only to provide their services to us.
Legal and safety: when required by law, or to protect the rights, property or safety of users, Schools or the public.
Business transfers: as part of a merger, acquisition or sale of assets, subject to this policy.

6. Text and WhatsApp messaging

The assistant writes to a prospective student only after that person has contacted the School first or has given consent to be contacted. Message frequency varies with the conversation. Message and data rates may apply.

You can stop messages at any time by replying STOP. Reply HELP for help, or write to admin@enrollpilotai.com.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties, except the service providers that deliver the messages.

7. Security

Information travels encrypted (HTTPS/TLS) and is stored in access-controlled cloud databases. Access is limited to the School's authorized users and to the EnrollPilot AI staff who support the account. No system is perfectly secure, but we work to protect your information and will notify affected Schools of any security incident as required by law.

8. Retention and deletion

We keep conversations for as long as the School's subscription is active, or a shorter period the School requests. When a School cancels, we export its conversation history to the School and then delete it from our systems, except for information we must keep to meet legal obligations or resolve disputes. Website demo requests are kept for as long as needed to follow up with you.

9. Your choices and rights

Depending on where you live, including Texas and California, you may have the right to request access to, correction of, or deletion of your personal information, and to know how it is used. To make a request, write to admin@enrollpilotai.com. If your request concerns a School's conversations, we will work with that School to answer it. We will not discriminate against you for exercising these rights.

10. Children

The service is meant for adults and older teens exploring post-secondary education. It is not directed to children under 13, and we do not knowingly collect their information. If you believe a child under 13 has given us information, contact us and we will delete it.

11. Changes

We may update this policy. We will post the new version on this page with a new effective date, and notify Schools of material changes.
